Job Description
Review EVI sales and purchase files from the sales team to ensure all required documentation is present.
Process these files through the necessary approval workflow.
Submit EVI purchase orders to vendors and maintain records in the factory order log.
Receive and log purchase confirmations from vendors, then share them with the relevant sales team members.
Review sales-approved confirmations and change orders, sending them to vendors and logging them appropriately.
Monitor the log for any missing confirmations and follow up with vendors or sales staff to resolve discrepancies.
Handle all vendor documents related to unit purchases and invoices.
Manage customer information and purchase order requests from vendors.
Generate vendor purchase orders, sales orders, EVI unit records, and work requests within the system.
Prepare required procurement reports for customers.
Assist the sales team with follow-ups on customer orders and deliveries.
Attend weekly production meetings.
Adhere to all company regulations, policies, and procedures.
Follow all safety guidelines and utilize appropriate safety equipment.

Job Requirements
Key Performance Indicators (KPI):
Process EVI orders with manufacturers within 24-48 hours of receipt, achieving 100% accuracy.
Collaborate with charger manufacturers and installation teams to manage delivery schedules with 95% accuracy.
Provide accurate weekly/monthly financial reports for the department.
Work Environment:
This role is based in a professional office setting, utilizing standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.
Position Type and Schedule:
This is a full-time position, Monday through Friday, from 8 a.M. To 5 p.M. No travel is required.
Education and Experience:
High school diploma or associate degree.
2-3 years of customer service or administrative experience.
Strong accounting and computer skills, particularly in Microsoft Word and Excel.
Preferred Qualifications:
Familiarity with electric vehicle infrastructure in the school bus, commercial, transit, or trucking sectors is preferred.
Experience with NetSuite is highly desirable.
Some background in accounting and proficiency with ordering processes is preferred.
