Job Description
Reviews orders received for price and quantity accuracy.
Communicates often and builds relationship with Sales Representatives in order to have an overall picture of the expectation of the customer.
Enters orders into SAP in a timely manner and maintains all project information and documentation for all Quotes/Purchase Orders that are processed.
Computes costs, sales representative s commission, taxes where applicable and shipping charges as required
Informs customers of updated unit costs, shipping date, anticipated delays and any additional information needed by the customer. Responsible for directly supporting the customer during the course of the project lifecycle.
Ensures all paperwork is accurate and sent to and received from the customer, following -up as necessary.
Prints order documents and forwards to the customer service manager for review.
Confirms material is allocated or ordered and follow-up with Procurement Manager regarding material arrival date.
Prepares all production documents and inserts them into specific notebooks for the Production Coordinator
Follows up on orders sent to production to ensure delivery by specified dates.
Checks shipping orders to ensure they are accurate with regard to quantity shipped as well as updated freight costs.
Specifies if special labeling or packaging is required for shipment and communicates to the production and shipping departments.
Prepares documents including customized reports, KPIs and correspondence. Updates various databases as required.
Records customer complaints and works with Customer Service Manager to improve the customer experience. Works collaboratively with all internal resources to ensure the highest levels of customer satisfaction are maintained.
Confers with production, shipping, warehouse or common carrier personnel to expedite or trace missing or delayed shipments.
Learn customer processes and tools and support customer requirements. Answers questions from customers or directs them to the person able to assist them.
Maintains customer name and address database and confirms all contact information is updated and correct in SAP.
Follow up with customers regarding projects in the backlog weekly or monthly based on customer material requirement date.
Creates Sample Requests and follows up to ensure shipment occurs in a timely manner.
Creates shipping document for carrier whether sent at a cost to customer or as a no charge replacement

Work Environment
This job operates in a clerical, office setting. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
Physical Demands
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
This is a largely sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand on a stool as necessary. Individuals may need to sit or stand as needed. This position may require walking primarily on a level surface for periods of time as well as reaching above shoulder heights or below the waist or lifting as required to file documents or store materials throughout the workday. Proper lifting techniques are required. This position may occasionally lift up to 25 pounds for files and computer printouts.
Project Coordinator is expected to walk the warehouse occasionally to ensure orders are being fabricated and shipped as scheduled. Protective eye wear and steel toed boots are a mandatory requirement and are to be utilized where indicated by safety department.
Position Type and Expected Hours of Work
This is a full-time position. Days and typical hours of work are Monday through Thursday, 8: 00 a.M. To 5: 00 p.M. And Friday 7: 00a.M. To 4: 00 p.M. Some flexibility in hours is allowed, but the employee is required to give the Project Manager ample notice, so the Project Coordinator s workload can be divided to others in the department.
Travel
Occasional travel may occur for further training or to enhance customer relations.
Required Education and Experience
1. High school diploma or GED diploma, or one to three years related experience and/or training, or equivalent combination of education and experience.
Preferred Education and Experience
Must be proficient in Microsoft Office applications and Outlook. SAP or other equivalent ERP software knowledge is a must.
