Job Description

This role is responsible for a wide range of executive administrative duties within a busy, deadline-driven environment. The ideal candidate is detail-oriented, highly organized, technologically proficient, and capable of maintaining the highest level of confidentiality and professionalism.



Essential Job Functions

Manage daily office operations to ensure smooth administrative processes


Provide high-level administrative support to senior leadership


Manage complex calendars across multiple time zones, including scheduling meetings, coordinating travel, and prioritizing time-sensitive matters


Coordinate internal and external meetings, including board meetings, strategy sessions, finance calls, presentations, and reviews


Research, plan, and coordinate extensive domestic and international travel, including flights, hotels, and ground transportation

Prepare and edit correspondence, presentations, and reports with strong attention to detail


Handle confidential and sensitive information with discretion


Plan and execute client meetings, due diligence sessions, and events

Support annual meetings, conferences, and company-sponsored events


Serve as a liaison between executives and internal departments, investors, and external stakeholders


Evaluate internal processes and recommend efficiency improvements


Ensure timely submission and tracking of expenses


Manage IT work tickets and desktop support coordination for assigned team members


Assist with IT initiatives and other back-office projects as requested


Support accounting, finance, business development, and other teams as needed


Collaborate proactively with other Executive Assistants


Manage visitor access and ensure a professional client experience


Coordinate external service providers


Work with building management to address facility-related matters


Oversee office supplies, equipment procurement, and inventory


Maintain fire warden responsibilities for the office


Coordinate onboarding and offboarding logistics, including office access and related applications


Assist with special projects and ad hoc requests as needed

Job Requirements

High School Diploma required; college degree preferred


4+ years of administrative experience

Exceptional organizational skills and attention to detail


Strong multitasking and time management abilities


Highly articulate, professional, and assertive in both verbal and written communication


Self-motivated and comfortable engaging with senior executives


Ability to work independently with minimal supervision


Resourceful and proactive problem-solver


Intermediate to advanced proficiency in Microsoft Office (Outlook, Excel, Word, PowerPoint)


Ability to manage multiple projects and adapt to shifting priorities

Experience with project management and travel coordination tools preferred


Experience coordinating executive expenses preferred


Private equity experience is a plus
