Job Description

The Dispatcher is responsible for coordinating and communicating with clients, homeowners, and the Technicians to maintain the scheduling of all projects.

The Dispatchers primary duties include but are not limited to:

Calling contact, the person upon receiving a project from the Sales team, client, or Sales Assistant to schedule an appointment for testing
Coordinating and communicating with Field Manager and Technicians to ensure proper scheduling
of projects. Log jobs on Excel spreadsheet.

Communicating and coordinating with Sales Assistant to inform the Sales team of the status of projects as needed
Sending work orders to Technicians via Outlook Calendar
Creating file for projects that have been scheduled
Maintaining project schedule on Calendar outlook to ensure there are no scheduling conflicts
Following up with all Pending/Unscheduled projects daily
Verifying accuracy of the information on work orders with clients
Monitoring and managing Dispatch and email for accuracy regarding the status of jobs
Keeping management and Technicians informed of next day work schedules via daily emails at the end of the day
Maintaining appointments and approved time off on calendar & emailing to management daily
Checking messages from the voice mail system every morning and as necessary
Rescheduling projects as necessary
Answering telephone calls, conveying messages and responding to email's in a timely manner

Job Requirements

Customer Service and Scheduling Experience, good people skills, good communication skills and Scheduling, Strong Time management skills, and bilingual Spanish skills a plus.
Typing 45 wpm
Data Entry
Computer skills: MS Word, Excel, and Outlook
Flexible Schedule( can work between the hours of 8: 30 am-9: 30 am start and 6pm on Mon-Fri and at least 1-2 Saturdays a month)
