Job Description
We are seeking a detail-oriented and proactive Administrative Office Specialist to join our dynamic team in Chino Hills, CA. In this role, you will be the backbone of our office operations, ensuring that everything runs smoothly and efficiently. Schedule: Monday Friday, 8:00 AM 5:00 PM with
one Saturday per month (or as needed)
Job Responsibilities
-Schedule testing appointments after projects are received from Sales or clients
-Coordinate daily job schedules with Field Managers and Technicians
-Log and track jobs using Excel and Outlook and the Calendar
-Send work orders and maintain accurate project files
-Monitor dispatch email and ensure job status updates are correct
-Follow up on pending or unscheduled projects daily

Confirm work order details with clients

Communicate next-day schedules and approved time off to management

Check voice mail messages each morning
-Reschedule projects as needed
-Answer phone calls and respond to emails promptly

-Excellent organization, multitasking, and attention to detail

Ability to work in a fast-paced environment and as part of a team

Proficient with Microsoft 365 (Outlook, Excel, Word), Windows, and Adobe Acrobat
-Typing speed of at least 50 WPM
-Seeking someone Reliable, self-motivated, with a positive attitude

Must be available for overtime as needed

High School Diploma or equivalent
-Excellent organization, multitasking, and attention to detail

Ability to work in a fast-paced environment and as part of a team
