Job Description
We are seeking a friendly, organized, and proactive Administrative Support Specialist to join our team. This role involves managing phone systems, handling customer inquiries, and assisting with various administrative tasks such as Accounts Receivable (AR), Accounts Payable (AP), invoicing, purchase orders (POs), and general office duties. The ideal candidate will have excellent communication skills, the ability to stay calm and empathetic in high-pressure situations, and experience using Netsuite for financial processes.
Key Responsibilities:
Phone Reception & Customer Service:
Answer incoming phone calls in a professional and friendly manner.
Direct calls to appropriate departments and personnel, ensuring a smooth and efficient flow of communication.
Handle customer inquiries, including addressing concerns, answering questions, and providing general support.
Manage difficult or frustrated customer situations with patience, empathy, and professionalism.
Escalate issues when necessary and follow up to ensure resolution.

Qualifications:
High school diploma or equivalent; Associate s degree in Business, Accounting, or related field preferred.
Previous administrative experience (1-3 years), ideally in an office setting with exposure to AR, AP, and invoicing.
Familiarity with financial systems, specifically Netsuite, is highly desirable.
Strong customer service skills, with the ability to handle frustrated or upset customers in a professional manner.
Excellent phone etiquette and communication skills.
Strong attention to detail and organizational skills.
Ability to multi-task and manage time effectively.
Proficient in Microsoft Office Suite (Excel, Word, Outlook).
